The much
anticipated full launch of the UM Community System is upon us!
In the coming weeks, the UM Community System will go live across the
entire university to handle the registration of all UMB Affiliates.
The current eUMB Affiliate System will be retired and its data will
be converted to the UM Community System.
All new account registrations and modifications of existing accounts
will be handled by the UM Community System. Additional
information about the UM Community System can be found below.
There will be
a number of communications, such as this one, to the different stakeholders
related to Affiliates to facilitate the transition.
The CITS training group is currently developing documentation and
training material on how to use the UM Community System.
Prior to the transition, each school and department will be contacted
individually to confirm their current sponsors and approvers.
Following this confirmation, each sponsor and approver will be
contacted about the transition and extended an invitation to view the UM
Community System training material prior to the transition.
Additionally,
all stakeholders are invited to 'test drive' the new UM Community System in
our Demo environment. This
environment has been preloaded with production data and functions exactly as
it will after the transition.

UM Community System Design Summary
Purpose
Since the introduction of centralized identity
management and the UMID in early 2005, all enterprise systems have been
converted to use this central service.
Users with traditional relationships to UMB - Faculty, Staff, and
Students - have an account automatically created for them in this system.
However, due to the complexity and diversity of our university
community, there has always been a need to create users that fall outside of
the traditional relationships - Affiliates.
Since 2005, these 'affiliated' users were captured and maintained
within the eUMB Affiliate System.
Over the years, new needs have developed, business processes have
evolved, and the number of Affiliate users has grown considerably.
The UM Community System was conceived to address the deficiencies of
the current eUMB Affiliate System while adding new functionality and
streamlining the entire process.
The types of users the UM Community System will
include:

Incoming Employees

Emeritus Faculty

Visiting/Adjunct Faculty

Temp/Contractual Employees
·
Partner Organization Employees
·
UMMC/UMMS/FPI Employees
·
Library Patrons (HSHSL and Law)
·
Visiting Students (e.g. BCCC)

Prospective Students
·
Pre-Directory (2004) Alumni

Volunteers

All other needed users
that aren’t captured in eUMB HRMS or SIMS that need access to UMB resources
Objectives
1.
Who can create identities will no longer be
limited to a select number of groups.
Anyone with a UMID will be able to initiate the registration for an UM
identity (self-registration without UMID coming soon!)
2.
Identity creation will no longer take days or
weeks; it will be immediate (real-time).
3.
The CITS IT Helpdesk will be removed from the
identity creation process and no longer have to act as facilitators.
Sponsors/Approvers that have vested interest in maintaining the accuracy
of the data and timeliness of the identity creation will be solely empowered and
responsible for the process.
4.
The process will be entirely electronic to
provide accurate and comprehensive auditing capabilities, streamline the steps
involved, and remove the need to collect, track, and store paper signatures.
5.
Identities can be made with a user-specific
lifespan. How long that identity is
valid is chosen at time of sponsorship and can be renewed/revoked at any time.
There will also be mandatory renewals to confirm a valid association with
the university still exists.
